Project Office Administrator

Nebula seeks a candidate to take on the challenging role of Project Office Administrator. The Project Office Administrator is responsible for effecting a professional and accurate project administration and reporting functionality within Nebula. The ideal candidate would have the following experience, competencies and skills:

Functional competency requirements:

  • Grade 12;
  • At least 2 years’ experience in an financial administration capacity;
  • Functionality and knowledge of the MS suite of products such as Excel, Word and PowerPoint;

Key Performance Areas - Project Financial Administration:

  • Inputting resource planning into the ERP;
  • Ensuring the compliance aspects of the contracts and that contract durations, renewals and increases are attended to within good time;
  • Alerting the required decision makers to the availability of resources who may not be fully utilized or have come free on projects;
  • Ensuring that time sheets are submitted in a timely manner by all employees and analyzing and capturing the time sheets;
  • Ensuring that all expense claims are submitted in a timely manner by employees and that the costs are allocated to the correct project code/number;
  • Completing change requests in a timely and accurate manner;
  • Completing billability reporting;
  • Analyzing and evaluating Work In Progress reports;
  • Scheduling project related meetings and taking of and disseminating minutes;
  • Escalating and preparing exception reports on any areas of non-compliance;
  • Liaising with the HR department on any matters of resourcing or recruitment/induction of new employees;
  • Reconciling the invoices with contracts and aligning this to the revenue pipeline/forecast;
  • Reporting and planning on internal Nebula projects
